Koya University Successfully Completes the 20-Year Digital Transformation Project for Higher Education

The Directorate of Higher Education at Koya University has officially announced the successful completion of its comprehensive digitalization and database project, covering two decades of academic records from 2004 to 2025. 

This milestone, achieved after two years of continuous effort, encompasses the archiving of postgraduate files across Higher Diploma, Master’s, and Doctoral levels, marking a significant leap in modernizing the university's administrative systems and preserving its academic history through advanced technology.

In a statement to the University Media, Asst. Prof. Dr. Mahabad Azad, Director of Higher Education, highlighted that this project was implemented in strict alignment with the "DIGITIZATION" pillar of Koya University’s 2023-2027 Strategic Plan. 

She noted that all documents from the past twenty years were systematically scanned and are now accessible via dedicated digital links. 

Dr. Mahabad expressed her gratitude for the unwavering support of the University President, Prof. Dr. Mohammed Hasib Siddiq, the Vice President for Administrative and Financial Affairs, Asst. Prof. Dr. Yadgar Abdullah Ali, and the Vice President for Higher Education Affairs, Prof. Dr. Hoshiar Zaki. The technical programming was led by Assistant Lecturer Khabat Attar Abdullah, with significant contributions from the directorate’s staff and volunteers.

The project introduced several strategic improvements, successfully transitioning operations from a manual paper-based system to a fully electronic workflow. Key achievements include the creation of a standardized academic guide for Master’s and Doctoral theses based on international standards and the digital registration of approximately 1,700 course titles. These steps have effectively eliminated clerical errors and accelerated the certificate issuance process. Additionally, postgraduate certificates were redesigned to a single-page format matching international benchmarks, and a new QR-code system was launched for certificate requests, streamlining the application process and reducing wait times.

Beyond digital archiving, the project involved a major physical reorganization of records, categorizing hard-copy files by faculty, department, and academic year. A dedicated website for the Directorate of Higher Education was also launched, hosting all necessary regulations and digital links. Furthermore, the directorate’s physical infrastructure was upgraded, including the separation of certificate issuance areas from archiving rooms and the installation of specialized filing cabinets. These combined efforts ensure that daily administrative tasks are now handled with maximum precision, speed, and efficiency, reflecting Koya University’s vision for a digital and sustainable academic future.
